Position: Sample Management Specialist (Full-time)

The St. Kitts Biomedical Research Foundation (SKBRF) is a research organization devoted to advancing the development of therapies for human diseases and the application of related models of disease pathophysiology to drug and device evaluation. SKBRF applies extensive expertise in many areas of therapeutic and diagnostic research for which clinically relevant models are feasible, with a focus on ophthalmic, central nervous system and metabolic research, as well as pharmacokinetic and safety studies.
Job Summary
This position will oversee, and where possible, optimize sample management and export processes from testing facility to recipient laboratories, generation of export permits, adherence to CITES and customs regulations, and coordination of sample shipment schedules in support of sponsor and internal research and development activities.
Key Accountabilities of the Role
1. Sample Management – Safeguard, organize, and track biological samples by detailed management of the physical and digital inventory across sites and in transit, through to final destinations, applying Laboratory Information Management Systems (LIMS) to manage storage areas and document all chain of custody actions.
2. Shipment Scheduling and Monitoring – Ensure CITES-regulated sample shipments are readied for export and import according to corresponding study schedules, engaging internal and external stakeholders, as well as courier representatives from start through to delivery. Ensure accurate definition and maintenance of shipment schedules through project management platform. Confirm packing hardware, labeling, support documentation is prepared for shipment in compliance with relevant SOPs. Ensure pre-alert notifications are distributed to couriers and shipment recipients, and onward shipments from Science Park are coordinated to maximize client satisfaction and service standards.
3. Export Document Management – Ensure export CITES and supporting export/import paperwork for CITES-regulated shipments is prepared accurately, in coordination with study team representatives and in accordance with regulatory requirements.
4. Shipping Materials Management – Ensure materials and supplies needed for maintenance of sample shipment schedules, including vapor shippers, Credo cubes and TempTales, are robustly inventoried and maintained. Ensure liquid nitrogen production is monitored and managed in conjunction with operational demand.
5. Test and Control Article Receipt - Coordinate test article receipt and onsite storage and completion of relevant components of the “Material Receipt, Distribution and Disposition Log”.
6. Compliance – Review sample and supply shipping documentation as well as conduct sample receipt activities in accordance with CITES, IATA, FDA, US Fish & Wildlife Service, CDC, USDA or other relevant international regulations.
7. Process Improvement - Support and lead process and operational improvements in coordination with Test Facility Management to further optimize sample management activities at the site.
8. SOPs - Establish in-depth knowledge of facility SOPs and contribute to their maintenance, support compliance with good laboratory practices (GLPs) and maintenance of AAALAC credentials.
9. Other - Perform all other assigned duties and provide or coordinate support for operational redundancy for additional supply chain and sample management activities where necessary.
Qualifications & Experience
1. Education Level/Certifications/Licensures
· Bachelor’s degree (B.A. or B.S.) or equivalent in applied or life sciences discipline.
· Associate’s degree or equivalent in applied or life sciences discipline.
2. Experience
· Minimum of 2 years of experience (4 years in the absence of a
Bachelor’s/Associate’s degree or equivalent educational background), preferably with the packaging and shipment of CITES-regulated temperature-sensitive biomedical specimens and corresponding import/export documentation requirements.
· Minimum of 1 year of experience in a service delivery or project leadership role.
