The Position:
The Executive Assistant – Managing Director’s Office is required to provide high-level administrative and strategic support to the Managing Director (MD), ensuring the efficient operation of the MD’s office and the timely execution of strategic priorities. He/She will be expected to expertly manage complex schedules, coordinate high-level meetings, prepare executive documentation, and serve as the primary liaison between the MD and internal and external stakeholders.
Principal Duties and Responsibilities:
1. Executive and Strategic Support:
• Manage the MD’s calendar, schedule meetings, and coordinate complex domestic and international travel.
• Prepare, review, and edit correspondence, reports, and presentations for the MD.
• Track Board directives and other strategic priorities, ensuring timely follow-up and completion.
• Conduct research, compile data, and prepare briefing materials for meetings.
2. Stakeholder Communication:
• Serve as the primary liaison between the MD and internal/external stakeholders.
• Screen and prioritize incoming communications, summarizing and distributing as appropriate.
• Draft official communications and talking points on behalf of the MD.
3. Meeting and Event Coordination:
• Organize and coordinate high-level meetings, including agenda preparation, logistics, and minute-taking.
• Ensure all materials for Board and executive meetings are prepared and distributed on time.
4. Operational and Administrative Support:
• Maintain confidential files, databases, and recordkeeping systems.
• Process expense reports, requisitions, and procurement requests for the MD’s office.
• Ensure timely submission and organization of key documents for approvals.
5. Other Duties and Responsibilities:
• Support special projects as assigned by the MD.
• Perform duties in an ethical and lawful manner and ensure that behavior is in keeping with the Bank’s Code of Conduct and complies with the internal control system and framework of the Bank.
• Perform other related administrative or strategic duties as required.
Qualifications and Experience:
• Bachelor Degree in Business Administration, Management or related field.
• Minimum of 5 years’ work experience in an executive-level or senior level administrative support role or equivalent.
Skills and Abilities:
• High level of discretion, professionalism, and confidentiality.
• Excellent communication skills with the ability to provide clear and engaging content.
• Proficient in using Microsoft Office Suite and data analysis tools.
• Ability to interact with others sensitively and tactfully, especially in difficult situations.
• Ability to initiate tasks, analyze situations and make effective decisions independently.
• Strong organizational and time-management skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong problem solving and critical thinking skills.
