    Job Title: Administrative Assistant – Full Time

    Job Summary: We are seeking an avid multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, e-mail and in person, assist with document preparation, record keeping, basic financial tasks, meeting support and generally being helpful and a positive presence in the workplace. The Administrative Assistant will play a pivotal role in supporting efficient operations and delivering exceptional service for the hotel leadership team.

    Candidates should be professional, polite, detail oriented and attentive. They should always be prepared and responsive, willing to meet each challenge directly, must be comfortable with computers, general office tasks, excel at both verbal and written communication, and should have a genuine interest in assisting others.

    The role is dynamic, requiring adaptability as you may be asked to help with varying tasks or respond to unexpected guest needs. This position offers excellent exposure to hotel operations and provides valuable experience for those seeking to advance in hospitality management.

    Minimum Requirements:

    · Secondary level education with passes in 5 subjects including English and Mathematics

    · Prior administrative experience, customer service experience or related fields

    · Excellent written and verbal communication skills along with proficient computer skills

    · Strong problem solving, decision making and interpersonal skills

    · Must be able to work weekends and public holidays

    · Meticulous attention to detail and able to multitask, proactive and self-driven

    Responsibilities:

    · Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies

    · Ensuring guest bookings are accurate and all necessary information is noted and followed through

    · Screening phone calls and routing callers to the appropriate party.

    · Maintain polite, professional and effective communication via phone, e-mail, and mail

    · Anticipate the needs of others to ensure their seamless and positive experience

    · Respond to all guest inquiries/ questions via all platforms (social media/emails) etc.

    · Coordinate schedules

    · Assist with basic accounting tasks

    · Assist with communication between departments and distribution of memos/information

    · Maintain an up-to-date calendar of significant events, promotions, and deadlines, ensuring effective planning and execution

    · Conduct research on various topics to help gather information for travel, purchasing, reports, presentations, or decision-making

    · Responsible for organizing and implementing employee activities

    · Any other duties/tasks deemed appropriate to ensure the company’s success

    · Proven experience managing confidential information and maintaining a high level of discretion. Understand the importance of maintaining confidentiality in handling sensitive information.
