Reports to: Chief Executive Officer
Job Summary:
The Executive Assistant provides high-level administrative, governance, organisational and strategic coordination support to the CEO, the Board and the Executive Office. The role helps ensure disciplined executive and board operations through proactive coordination, accurate documentation, stakeholder engagement and timely follow-up on key priorities.
Key Areas of Responsibility
• Manage the CEO’s calendar, appointments, meetings, commitments and travel arrangements.
• Prepare schedules, briefs, agendas, background papers, presentations, reports and executive correspondence.
• Support Board and Committee meeting administration, including notices, logistics, board packs, minutes and action tracking.
• Maintain governance records, registers, resolutions and secure filing systems, while monitoring key reporting deadlines.
• Coordinate strategic initiatives, leadership meetings, retreats, conferences and executive deliverables.
• Facilitate professional communication with Board members, senior management, regulators, clients and business partners.
• Coordinate executive travel, official visits, events, expenses and administrative workflows.

NORMAL HOURS OF WORK
8:30 a.m. to 4:30 p.m.
Education and Experience
• Bachelor’s Degree in Business Administration, Management, Communications, Corporate Governance, Office Administration, or a related discipline.
• Professional certification in Executive Administration, Corporate Governance, Office Management, Records Management, or a related field.
• Minimum of five years’ experience providing supervisory, management or executive-level administrative support in a fast-paced professional environment.
• Demonstrated experience coordinating meetings, preparing executive materials, taking minutes, tracking actions, and managing confidential information.
• Experience within financial services, payments, banking, fintech, corporate services, or a regulated environment is preferred.
• Experience managing executive calendars, travel, correspondence, events, stakeholder communications, and administrative workflows is required.
Salary
Salary commensurate with qualifications and experience.
